You’re a professional development instructor, or a company interested in hosting seminars for training, workshops, and the delivery of your valuable expertise to a group of industry professionals. You need to host a workshop, and first, you need to market your training program to attract the right type of talent. Engage those individuals who are interested in your content by creating a workshop proposal that clearly, concisely, and attractively introduces your project, content, and programs, allowing your prospective trainees to know exactly what they can expect from your program.

When you create a workshop proposal, you are persuading the reader to listen to your expertise and your training seminar content. In order to maximize engagement, you will need to establish your expertise by telling your story and telling the story of your organization. Your prospective trainees are interested in you if they are reading about your workshop. Briefly, tell why your company or why your instructors are experts in their field, and how they will contribute their expertise to teach their content.

You’ll need to describe the format of the workshop right away. Your prospective attendees will want to know, right away, what type of workshop to expect. Your trainees might not be interested in hands-on practice, and would rather listen to a seminar. Or, they may be specifically interested in working together with groups. They may want to have something to take away from the whole program. If your workshop includes or excludes these items, let your invitees know at the very beginning. Describe the materials required and the prerequisites. In any workshop, there might be requirements that your students need to have prior to entering into the program. Previous classes, experience, certificates, or other prerequisites should be up-front and clear so they all understand. If the prerequisites can not be well defined, describe the types of interests that other students have who are successful in your workshop. Invite people, and don’t try to make your workshop sound exclusive or like you don’t want certain people to attend, and you’re liable to have more engagement from your prospects.

You may want to reference other workshops, reading materials, or even webinars as part of the workshop’s progress. If students need to purchase textbooks, software, or to complete online components first, you should indicate those tasks in this section. The workshop might be at the beginning of a larger program or class, as a way to kick things off in person, or it may be a sweetener to a larger class. Usually, in professional training programs, the in-person workshops are the most expensive components of a class, and students who opt-in are looking for the highest quality training or education in the topic.

Describe the options available for the workshop. Will the workshop be graded? How will it count for credits, a certificate, or as a prerequisite for another program? Many workshops might be completed after finishing a project at the end, and have no particular grade, as long as it is completed. Others may include several rigorous tests that are professionally proctored to high educational and industry standards. Students who are completing your workshop as part of another program, or to gain eligibility for another class, are going to need to know exactly what they will get out of your workshop, aside from the valuable training you’ll provide.

Lastly, include the nuts-and-bolts. The schedule information, logistics, pricing, and payment terms should all be described in detail. This should be a good section to include all of the nitty-gritty details, such as how to get to your location, what to bring with you on the day of, checklists, documents, or any other detailed information your students will need. You should provide them with an itemized list of all of the workshop components so that they can easily calculate their costs, and make choices about what elements of the workshop to purchase and which to avoid.

You may want to include stories or anecdotes about previous workshops, and tell about where your students are now, and what they did with your training. A workshop is usually the most expensive part of a professional training course, and sometimes it’s elective, because of the requirement to be in-person. It can be much more fun, because of the social aspect, allowing students to partner up and get to know one another. With the increase in remote learning these days, your students might be very excited just to see each other for the first time.

Use this template to structure the invitation and proposal for your workshop, and to attract great talent and engaged students to come to learn about whatever you or your company is an expert in.
